Shared canned responses for a small team, today and next
How a small team answers with the same wording from their phones today - a shared folder link - and the synced team library that is coming soon.
The failure mode is always the same. Two people answer the same question, both keep their own version in Notes, and six months later a customer gets an answer that stopped being true in March.
Templates don’t fix that on their own. One shared source does. Here is what Fast Reply gives you for that today, and what is coming next.
Today: hand a folder over as a private link
Any folder in your library can be shared as an anonymous private link. Whoever opens it gets the whole folder in their own Fast Reply app - every reply, with its blanks and attachments - without retyping anything.
How it works, plainly:
- Build the folder once, with blanks for the parts that change per customer:
Thanks for reaching out, [name]. Your [plan] renews on [date] - do you want me to change it before then?
- Share the folder as a link and send it however you like - Messages, Slack, email.
- Each person opens the link and the folder lands in their library. Installing a shared folder is free - they don’t need Pro or an account.
- Everyone enables the keyboard: Settings › General › Keyboard › Keyboards › Add New Keyboard. From then on the same replies are one tap away in whatever they’re typing in.
Creating the link is a Pro feature, so only one person - whoever owns the wording - needs Pro. The link is anonymous and expires after 48 hours on its own, so a forwarded message doesn’t stay a live door into your templates forever.
This is also the fastest way to get a new person productive: hand them the folder, they enable the keyboard, they’re answering in the house voice on day one. It works just as well for a contractor or a temp - nobody needs a paid seat to receive a folder.
What a link doesn’t do
Each install is a copy. When the wording changes, the owner edits the folder and shares a fresh link, and everyone installs it again. For a folder that changes monthly that’s a one-message ritual; for wording that changes daily, it’s a gap.
Coming soon: one library the whole team answers from
The next step is built and on the way, but not available in the app yet: a shared team library. One continuously-synced library that up to five people answer from, with one owner keeping it current - edit a reply once and everyone has the new version at the same time, version history included, no re-sharing.
No promised date. Seats will be priced per person per year, on top of the owner’s Pro subscription - the planned price is on the pricing page.
Keeping a shared set honest over time
Whichever way the replies travel, the same habits keep them true:
- Folders that nest - by product, stage or channel, so a growing library stays navigable rather than becoming a wall.
- Smart collections - recently used and most used, so you can see what the team actually reaches for versus what somebody wrote once and nobody sends.
- Version history (Pro, with iCloud sync) - every reply keeps its earlier versions, so a bad edit can be walked back.
- Randomised wording - for replies that go out dozens of times a day, let the phrasing vary so customers don’t recognise the form letter.
