iPhone Text Replacement, and the four things it cannot do

Apple ships text expansion on every iPhone and almost nobody uses it, which is a shame - for short strings it’s genuinely good, free, and syncs everywhere.

Apple calls it Text Replacement. Most people call it word replacement, or just ask how to replace text on an iPhone - it’s all the same setting, and it’s two taps from where you already are.

Setting it up

1. Settings › General › Keyboard › Text Replacement
2. Tap +
3. Phrase is the full text. Shortcut is what you type to trigger it.
4. Save.

It syncs across your Apple devices via iCloud. Good candidates: your email address, your business address, a phone number, a booking link.

Where it stops

1. It’s abbreviation-only. There’s no way to browse what you saved. If you can’t recall that the trigger was ;addr2, the entry may as well not exist - and that’s the normal state of affairs after a few weeks.

2. It’s one flat list. No folders, no grouping, no tags. Thirty entries in an alphabetical wall is where most people quietly stop adding more.

3. Nothing is variable. A replacement is a fixed string. The moment a message needs a name, a time or a price, you’re editing after insertion - every single time. There’s no way to say “ask me what goes here”.

4. Text only, and only yours. No image, no attachment, no link preview, and no way to hand your set to a colleague. Five people needing the same replies means five people typing them in separately and drifting apart.

What to use when you hit those walls

Keep Text Replacement for the short stuff - it costs nothing and it’s already there. For actual messages, the model that works on a phone is a keyboard that shows your replies as labelled keys, so there’s nothing to recall.
